1. Who we are

This privacy policy explains how Hair Extension Experts (Pty) Ltd (“Hair Extension Experts”, “we”, “us”) collects, uses and protects your personal information when you visit hairextensionexperts.co.za, contact us or use our services. We follow the Protection of Personal Information Act 4 of 2013 (POPIA).

2. Information we collect

We only collect what we need to help you. This may include:

• Contact details, such as your name, phone number and email address, when you fill in our contact form, message us on WhatsApp, call or email us.
• Appointment details, such as the services you book, your appointment history and notes about your hair, colour and extensions.
• Photos of your hair that you choose to send us so we can give advice and quotes.
• Information about hair or scalp concerns, such as thinning or hair loss, that you choose to share with us so we can recommend suitable services.
• Delivery details, such as your address, if we courier an order to you.
• Website information, such as your device, browser, pages visited and how you found us, collected through cookies and similar tools.

3. How we use your information

• To reply to your enquiry and give you advice or a quote.
• To book, manage and remind you of appointments.
• To provide our services and keep a record of the work done on your hair.
• To process orders, payments and deliveries.
• To improve our website and understand how visitors use it.
• To measure our advertising, for example whether someone who clicked an ad later contacted us.
• To send you updates or offers, only if you have agreed to receive them. You can opt out at any time.
• To meet our legal and tax obligations.

4. Sensitive information

Information about hair loss or scalp conditions may be personal and sensitive. We only collect it when you choose to share it, we use it only to advise you and provide your service, and we never use it for marketing. If you are referred to a partner such as a trained nurse for PRP, we only share what is needed, and only with your consent.

5. Photos

Photos you send us for advice are kept private. We will never post photos of you, including before and after photos, on our website or social media without your written consent. You can withdraw consent at any time and we will remove the photos from our own channels.

6. Who we share information with

We do not sell your personal information. We only share it where needed with:

• Courier companies, to deliver your order.
• Payment providers, to process payments securely. We do not store your card details.
• Our booking, email and messaging providers, such as WhatsApp.
• Website, analytics and advertising services, such as Google Analytics and Google Ads, which use cookies to measure website use and advertising.
• Our professional advisers, such as accountants, where required.
• Authorities, where the law requires it.

Some of these providers may store information outside South Africa. Where this happens, we use providers that protect personal information to a standard similar to POPIA.

7. Cookies

Cookies are small files saved on your device. We use them to make the website work, to understand how it is used and to measure our advertising. You can block or delete cookies in your browser settings. Some parts of the website may not work properly without them.

8. How long we keep information

We keep your information only as long as we need it for the purposes above, or as long as the law requires, for example for tax records. Enquiries that do not lead to a booking are deleted after a reasonable period.

9. How we protect your information

We take reasonable steps to keep your information safe, including secure systems, password protection and limiting access to staff who need it. No system is completely secure, so if we become aware of a breach that affects you, we will let you and the Information Regulator know as POPIA requires.

10. Your rights

Under POPIA you have the right to:

• Ask what personal information we hold about you and request a copy.
• Ask us to correct or update your information.
• Ask us to delete your information, where we are not required to keep it.
• Object to us using your information, including for marketing.
• Withdraw your consent at any time.
• Complain to the Information Regulator.
